How does digital accounting work?
Digital accounting works completely online – receipts, invoices and bank statements are captured, processed and archived electronically. Instead of paper folders, automated systems are used that take data directly from emails, scans or banking interfaces. Modern accounting software automatically recognizes relevant information (e.g., amount, date, invoice number) and assigns it to the correct accounts. This makes the entire process faster, more transparent and audit-proof.

Do I still need to keep paper receits?
Paper receits can be destroyed once properly scanned and digitally archived. The German Ministry of Finance has published an accounting guideline which outlines the requirements of a proper digital accounting process which we are happy to explain and set- up for your company.
Do I need a special documentation for a digital accounting process?
Yes. During the implementation of a digital accounting process, tax payers are required to follow guidance of the Ministry of Finance on how to digitally create, process and store data. The process and IT set-up needs to be documented and made available to the tax office upon request.
The necessity for such a documentation is independant of your company´s size – also SME and freelancers are also subject. In case the documentation is missing, the tax office can in a first case scenario ignore your accounting data and start assessing your tax position on estimates, accompanied with fines.
